Workbooks and Worksheets - Organize a file
Understand the Excel file, its sheet tabs, and a simple way to separate source records and reports without losing your saved work.
By the end, you can
- Distinguish a workbook file from its worksheets.
- Create, rename, and navigate sheet tabs.
- Save a file in a format that preserves its intended structure.
Before you start: Have Microsoft Excel open. Ribbon paths and shortcuts below use Excel for Windows desktop.
In this lesson
A workbook contains worksheets
An Excel workbook is a file, such as Pune-Operations.xlsx. Its worksheets are the separate grids selected by tabs along the bottom. An operations report can keep sales records on Sales and spending on Expenses, with a separate summary sheet. Saving the workbook saves those sheets together; a sheet tab is not a separate file.
Two datasets in one operations workbook
North| A | B | |
|---|---|---|
| 1 | Region | Revenue INR |
| 2 | North | 52000 |
| 3 | South | 43000 |
| 4 | East | 38500 |
Rent| A | B | |
|---|---|---|
| 1 | Expense | Amount INR |
| 2 | Rent | 15000 |
| 3 | Electricity | 2400 |
| 4 | Supplies | 6500 |
Create and save the workbook in Excel
- Select File > New > Blank workbook, or press Ctrl+N.
- Double-click the first sheet tab and rename it Sales. Enter the sales headers and records in A1:B4.
- Select the + beside the sheet tabs to add a worksheet. Rename it Expenses and enter the second dataset.
- Click the tabs to switch grids. Confirm B2 changes with the active sheet because the address is sheet-specific.
- Choose File > Save As, select a location and the name Pune-Operations.xlsx, and keep Excel Workbook (.xlsx) as the file type for this example.
- Press Ctrl+S after changes. Confirm the title bar and saved location identify the intended workbook.
Expected result: one saved .xlsx workbook with two named worksheets. Creating the second sheet does not move the Sales records, and clicking a tab changes which grid is active.
Practical organization and navigation
- Keep an imported source sheet separate from transformations or reports so a summary can be checked against its inputs.
- Use meaningful sheet names such as Sales and Expenses rather than several indistinguishable Sheet1 copies.
- Ctrl+Page Up and Ctrl+Page Down move between sheets in Windows desktop Excel; Shift+F11 inserts a worksheet.
- To copy a sheet deliberately, right-click its tab > Move or Copy, choose the destination workbook and position, and select Create a copy before confirming.
Formats, grouped sheets, and common mistakes
The custom Practice workspace is not a full workbook manager. No challenge is linked as an exercise in adding, moving, or saving Excel worksheet tabs.
