Cell Formatting - Make structure readable
Use font, alignment, wrapping, borders, and fill to make a report readable without changing its underlying records.
By the end, you can
- Apply consistent visual formats to a selected range.
- Distinguish appearance from data changes.
- Avoid merged-data layouts that obstruct analysis.
Before you start: Know how to select a range. Instructions use the Windows desktop Home ribbon.

Formatting communicates structure
Cell formatting helps a reader distinguish headers, values, and notes. It can change font emphasis, alignment, fill, and borders, but it does not correct a misspelled status or alter a stored date. Use a small, consistent set of formats rather than a different decoration on every cell.
A task register to make readable
Task| A | B | C | D | |
|---|---|---|---|---|
| 1 | Task | Owner | Due date | Status |
| 2 | Compile monthly regional report | Anika | 08-Oct-2026 | Open |
| 3 | Check supplier invoice | Dev | 09-Oct-2026 | Review |
| 4 | File completed expense claims | Meera | 12-Oct-2026 | Closed |
Format the report in Excel
- Select A1:D1. Use Home > Font > Bold, or Ctrl+B, for the header row.
- Choose a restrained header fill and a readable font color through Home > Font. Keep adequate contrast.
- Select A2:A4 and choose Home > Alignment > Wrap Text so long task descriptions stay inside their cells.
- Use Home > Cells > Format > AutoFit Row Height and adjust column widths so wrapped text is visible.
- Apply a simple bottom border to A1:D1 through Home > Font > Borders. Keep borders consistent rather than enclosing every note in a heavy box.
- Inspect A2:D4: task wording, owners, due dates, and statuses must still match the original records.
Expected result: one clearly emphasized header row and readable multiline task descriptions, with the same three records. Formatting a status as green does not change Open to Closed.
Useful report conventions and shortcuts
- Use Ctrl+1 to open Format Cells for font, alignment, border, fill, protection, and number settings in one place.
- Use a consistent input style and keep calculated outputs visually distinguishable, with labels explaining the convention.
- Format Painter on Home can copy a chosen format to a comparable range; verify the scope before applying it.
- Use Home > Clear > Clear Formats to remove unwanted visual formatting without choosing Clear Contents, which removes values.
Common mistakes and troubleshooting
For a rule-based highlight that changes with data, use Conditional Formatting. For currency/date/percentage display, use Number Formatting. Excel visual formatting is not graded by any existing Practice challenge, so none is linked here.
