Rows, Columns, Cells and Ranges - Navigate the grid
Read addresses, select a rectangular block, and keep a report's record and field structure clear.
By the end, you can
- Read a cell address using column then row.
- Describe the size of a range.
- Select and navigate cells without confusing row and column headers.
Before you start: Open a blank worksheet in Windows desktop Excel.
In this lesson
Rows describe records; columns often describe fields
A row runs horizontally and is numbered. A column runs vertically and is labelled A, B, and so on; after Z comes AA. Their intersection is a cell. B2 means column B, row 2. A range is a selection of cells: B2:C4 includes both endpoint rows and both columns, not just two cells.
A compact attendance grid
22| A | B | C | |
|---|---|---|---|
| 1 | Employee | Attended days | Target days |
| 2 | Anika | 22 | 20 |
| 3 | Dev | 18 | 20 |
| 4 | Meera | 20 | 20 |
Expected address readings: A3 contains Dev, B3 contains 18, and C3 contains 20. Selecting an entire row or column selects more cells than the small B2:C4 rectangle.
Select the intended block in Excel
- Click B2 and identify its column letter B and row number 2.
- Drag from B2 to C4, or click B2 then Shift-click C4, to select the rectangle.
- For precise navigation, click the Name Box to the left of the formula bar, type B2:C4, and press Enter.
- Alternatively press Ctrl+G, enter the reference in Go To, and confirm.
- Inspect the selection before typing, copying, or formatting; the active cell can be only one cell inside a larger selected range.
Use selections that match the task
- Select a numeric field range when totaling or formatting amounts, and include every related field when reordering records.
- Shift+Arrow extends a selection; Ctrl+Arrow moves toward a data edge, with behavior affected by blank cells.
- Clicking a row number selects a whole row; clicking a column letter selects a whole column. Use a small rectangle when that is the intended scope.
- Keep one record per row and clear field names in a header row. Avoid merged cells inside datasets you intend to sort, filter, or summarize.
Common mistakes and related reference behavior
The linked SUM challenge can reinforce selecting its actual sales range and entering a formula. It does not recreate Excel's full sheet size or grade this attendance example.
